1 Getting Started

1.1 Online Help

Nursys Online Help was designed to help you easily perform all Nursys core functions. Step by step instructions and screenshots are provided for each core function.

To access Online Help, complete the following steps:

  1. Select Menu, select Help, View Online Help.
  2. View Table of Contents, click on desired topic.

1.2 Help Videos

Help Videos are available to help you quickly learn how to use the Nursys application. These short videos, averaging 1 - 3 minutes in length, may be accessed by clicking on the question marks located throughout the application.
The full list of help videos may also be accessed from the Nursys Menu. Click Menu, click Help, click View Help Videos.

To access the list of help videos, complete the following steps:

  1. Select Menu, Select Help, View Help Videos
  2. Click the topic to launch the video
  3. Click the X to close the video and return to the video list

1.3 Welcome to Nursys

What is Nursys?

Nursys was implemented in 1999 and is a comprehensive electronic information system that includes collecting and storing personal information, licensing information, disciplinary information and license verifications. The term “Nursys” is a combination of the words ‘Nurse’ and ‘System’ which provides a broad descriptor for the nurse data warehouse and the supporting business applications and services.

System Security

Nursys is a secure system that is protected by a firewall. Access to Nursys requires a unique user name and password. Access to functions within Nursys is controlled by each person’s user name, and is defined by the Executive Director of the Member Board and maintained by the BON Nursys Admin.

Who has access to Nursys?

Only Boards of Nursing and the National Council have access to Nursys.

 

1.4 Logging into Nursys

 

1.4.1 System Requirements

To access the Nursys web site, your system must have:

  1. Display Resolution: 1024 x 768
  2. Flash Player: 9, 0, 28, 000 or newer

 

1.4.2 How to Login to Nursys

To login to Nursys, complete the following steps:

  1. Launch the Internet Web Browser
  2. Access the Nursys Web Site, type in http://www.nursys.org
  3. Login to Nursys using your assigned id

Step 1: Double click on the Microsoft Internet Explorer icon

  

Step 2: Access the Nursys Web Site. Type in the address field https://www.nursys.org , press (Enter).

Step 3: Login to Nursys.org, enter Login ID and Password, select Login or press (Enter).

Note: If you enter the incorrect Login ID and/or Password, an error message will display stating the Login ID and/or password is invalid. If the Login ID and Password are correct but you still receive this error, please contact your BON Nursys Administrator.

Need help logging in?

The following Login Help message is displayed if you click Need help logging in? Please remember your Nursys.org Login ID is assigned to you by the administrator at your board. Please contact your BON Nursys Administrator first before contacting the Nursys Administrator.

Note: Clicking the internet back browser button will log you out of Nursys as displayed in the screenshot below. Within the Nursys screens are back buttons that may be used to return to a previous Nursys screen.

 

1.4.3 Nursys Timeout Message

Nursys will timeout if the application is inactive for more than 25 minutes. To stop Nursys from timing out, click the Stay Alive button or move your mouse. You have 1 minute to complete otherwise a second message is displayed stating your session has been timed out. The user must Login to Nursys again.

Message 1: Click Stay Alive button or move your mouse within 1 minute to prevent Nursys from timing out.

Message 2: Your session has been timed out. Click OK and login to Nursys again.

This is the result of not clicking the Stay Alive button.

 

1.5 Navigation

This section explains how to navigate within the Nursys System.

Within Nursys are windows that contain buttons, icons and checkboxes. Tooltips are displayed when you rollover or mouse over a button, icon or checkbox. Use the tooltips to help you review information or complete an action for a particular Nursys function. You may also view online help which provides step by step instructions including screenshots.

 

1.5.1 Dashboard (Nursys home page)

Dashboard is the Nursys home page and is displayed each time you log into Nursys. Before accessing Nursys to perform a function, please view the Dashboard to see the latest updates on the following:

  1. Unread Speed Memos
  2. Nursys News
  3. Links to frequently accessed information

Not only can you view the latest updates on the Dashboard but you have the ability to hide the information displayed in the window by clicking on the arrow to collapse the information. Additionally, the Dashboard may be disabled by selecting Menu, then selecting Dashboard.

This is an example of the Nursys Dashboard (home page). 

To disable (turn off) the Dashboard, select Menu, select Dashboard

 

1.5.2 Nursys Menu

The Nursys Menu displays the functions a board of nursing may perform. Permission to access the functions listed in the Menu is determined by a user’s permission level. All Nursys users may access the Dashboard, Search, Speed Memo (general category), Info and Help Menu functions. Access to additional functions listed in the Menu below is assigned by a user's board and will be activated upon completion of an NCSBN training session.

This is an example of the functions on the Nursys Menu. Not all users will have access or see the menu items to the functions listed below. 

 

1.5.3 Individual Detail window, Nursys Tabs

Nursys consists of tabs which contain licensure and discipline data on a specific individual. Once you locate the desired individual, the Personal tab is displayed and is the default screen. Click on the desired tab and view the information contained within that tab.

This is an example of the Personal tab. Note that the individual’s personal information (as reported by Florida) is displayed.

 

Buttons

Within the Nursys windows are buttons. Clicking on a button produces an action. Before you click on a button to perform an action, mouse over the button to read the tooltip associated with the action. Please note that you only need to click a button once.

In this example, the Verification tab displays multiple buttons and is only intended to provide an example of how to activate a button. Mouse over the button to view the tooltip then click the button once to perform the action. 


The most common buttons are displayed below.

Description

This icon is located on the Individual Detail Window, Quick Search and Dashboard. Click the icon to access Help Videos.

 

 

This button is located on the Individual Detail window and may be accessed on all tabs. Clicking this button enables the Return to Search Results and/or Send Speed Memo menu items.

Note: Return to Search Results is only displayed if the user double clicked on the individual from the Search Results window.

This button is located on the View Speed Memos window. Click this button to send a Speed Memo.

The Add Discipline Case button is located on the Discipline tab. Click this button to add discipline to the individual's license.

 

 

The Add Investigation button applies to Compact jurisdictions only and is located on the Compact tab. Click this button to open an investigation on the individual.

 

The Click to Track button is located on the Verification tab. Click this button to add the individual to the Verification Requests List for tracking.

 

This Remove Tracking button is located on the Verification tab. This button removes the license tracking for the individual from the Verification Requests List.

 

The Add New License button is located in the Discipline Wizard. Click to add a new license and associate it with the discipline case.

 

This Next button is located in Discipline Wizard. Click this button to proceed to the next step in the Wizard.

 

This Back button is located in the Discipline Wizard. Click this button to return to the previous step in the Wizard.

 

Important: This Cancel button is located in the Discipline Wizard. Clicking the Cancel button will close the discipline wizard and any information entered will be lost.

 

The Reset button button is located in the Discipline Wizard. Click this button to clear all the form fields.

 

The Print Case button is located on the Discipline tab. Click this button to print the discipline case.

 

The Next Case button is located on the Discipline tab. Click this button to view the next discipline case for the individual.

 

The Add Violation button is located in the Discipline Wizard. Click this button to add a violation (basis for the action).

 

The Add Action button is located in the Discipline Wizard. Click this button to add a new initial action.

 

The Add Revision button is located in the Discipline Wizard. Click this button to add a new revision.

 

The Clear Selections button is located on the Jurisdiction Alert screen. Click this button to remove a jurisdiction from the jurisdiction alert list.

The View Alert History button is located on the Jurisdiction Alert screen. Click this button to view a list of all previously alerted jurisdictions for the case you are viewing.

 

The View Report button is located on the Discipline Report screen. Click this button to view the discipline report.

 

The Print Report button is located on the Discipline Report. Click this button to print the discipline report.

 

 

Icons

Icons are also displayed within the Nursys screens. Clicking an icon produces an action. Before you click an icon to perform an action, mouse over the icon to view the Tooltip associated with the icon.

This is an example of the Discipline tab. Notice the five icons located in the Discipline Summary section. Mouse over the icon to view the tooltip then click the icon for the action you wish to perform.

This icon is located on the Discipline Wizard. Mouse over the icon to learn more about Aligned and Unaligned discipline cases.

This icon is located on the Discipline tab. Click the icon to edit the discipline case.

This icon is located on the Discipline tab. Click the icon to mark the discipline case for deletion.

This icon is located on the Discipline tab. Click the icon to view the HIPDB Reporting Status.

This icon is located on the Discipline tab. Click the icon to open the URL associated with the discipline case.

This icon is located on the Discipline tab. Click the icon to view jurisdiction alert history for the case you are viewing.

This icon is located in the Discipline Wizard. Click the icon to edit details for the violation, action, or revision.

This icon is located in the Discipline Wizard. Click the icon to mark the violation, action or revision for deletion.

This icon is located in the upper right corner of the Nursys application and is used to logoff Nursys.

 

Checkboxes

Similar to buttons and icons, checkboxes allow a user to select or deselect an action. A checkmark in the box indicates that the option is selected for action. Removing a checkmark from the checkbox deselects the action. Before you check or uncheck a checkbox, please mouse over the checkbox to review the tooltip associated with the action.

In this example, the Expanded Name Search checkbox is selected.

In this example, two licenses were selected to be disciplined.

 

1.6 Support (Help Desk)

Questions or issues may be directed to the Nursys Admin; however, before you send a question or issue please access Help Videos, Online Help or the Nursys Policies.

If you are unable to resolve the issue using the resources previously listed, contact the Nursys Admin using one of the following methods listed below:

  1. Send an email to nursysadmin@ncsbn.org
  2. Send a Help Request Speed Memo.
  3. By phone at 312-525-3747.

 

Option 1: This is an example of how to send a Help Request Speed Memo from the Nursys Menu. Select Menu, select Help Request.

Enter subject and content then click Send or Send and Print.

 

Option 2: This is another example of how to send a Help Request Speed Memo. Select Menu, select Compose Speed Memo.

Select category (Help Request) then enter subject and content. Click Send or Send and Print.

 

1.7 General Information

Nursys General Information may be accessed by selecting Info from the Nursys Menu. Click on the topic to view information on the following:

  1. Select Menu, select Info
  2. Select the topic

1.8 Logging out of Nursys

Logging out of Nursys

Step 1: Click the Logoff icon which is located in the right corner of the Nursys application.

 

 

Once you click the Logoff icon, you automatically return to the Login screen. Your browser will remain open allowing further work outside the Nursys web site.

 

Step 2: Close the Internet Browser

If you are finished with the internet browser, you may skip step 1 and simply close the internet browser by clicking on the X.
